3. Principles of data processing
We process personal data only to the extent required for the operation and security of this website, for answering enquiries and for the initiation and performance of contracts. This website uses no analytics, statistics or advertising services, no social media plug-ins and no externally loaded fonts.
4. Server log data
When the website is accessed, the web server processes technically necessary information, in particular the IP address, date and time of access, the address requested, the volume of data transferred, the status message, the referring page and browser and operating system information. These data serve the operation, troubleshooting and security of the website. To protect the login area, failed login attempts are also logged together with the IP address.
5. Contact form
If you write to us using the contact form, we process the information you provide: customer group (private individual, company or association), where applicable the name of the company or association, first name and surname, e-mail address, optionally telephone number and call-back request, the area selected, for IT enquiries the topic selected, and your message. In addition, the time, IP address and browser information of the submission are stored.
The information is stored in the database of this website and transmitted to Butler Office by e-mail. The sending of this e-mail is recorded in the e-mail log of the website for 14 days. We use your information exclusively to process your enquiry and to get in touch with you. Submitting the form does not involve any consent to advertising.
6. Protection against misuse (hCaptcha)
The contact form is protected by the hCaptcha service. The provider is Intuition Machines, Inc., 1065 SW 8th St #704, Miami, FL 33130, USA. hCaptcha checks whether an entry originates from a human being or from an automated program. For this purpose, content is loaded from the provider’s servers on the contact page; according to its own statements, the provider processes in particular the IP address, browser, device and operating system information, date and time, and interactions such as mouse movements, scroll position and keyboard or touch events. Further information: https://www.hcaptcha.com/privacy
7. Hosting and e-mail infrastructure
The website is operated on a web hosting service of netcup GmbH, Emmy-Noether-Strasse 10, 76131 Karlsruhe, Germany. The server location of this web hosting service is Nuremberg, Germany. netcup provides the server, database and e-mail infrastructure and, in doing so, processes the data referred to in clauses 4, 5 and 8 as a processor on our behalf. Further information: https://www.netcup.com/de/kontakt/datenschutzerklaerung
8. E-mail communication
If you contact us by e-mail, we process your e-mail address and the content of your message in order to respond to your request. Please note that unencrypted e-mails are not fully protected against access by third parties while in transit.
9. Direct contact by telephone and WhatsApp
On some pages you can call us or write to us on WhatsApp via “Contact directly”. Both are voluntary; the contact form and e-mail are available to you as alternatives. If you call us, we process your telephone number and the information from the conversation to the extent required for your request.
WhatsApp is not embedded in this website: no content, scripts or cookies are loaded from WhatsApp, and the website does not establish any connection to WhatsApp before you make your choice. Only when you deliberately select “Message on WhatsApp” does an ordinary link open WhatsApp. From then on, WhatsApp’s terms of service and privacy information apply; we have no influence on that data processing. According to WhatsApp, the provider for the European Region is WhatsApp Ireland Limited, Ireland, a company of the Meta group. Further information: https://www.whatsapp.com/legal/privacy-policy-eea
According to WhatsApp, messages are end-to-end encrypted. This does not mean that no other data arise: according to its own statements, WhatsApp processes, among other things, the telephone number, device and connection information and times of use, and may transfer data to other companies of the Meta group, including in the USA and in other countries. We ourselves use your telephone number, your profile name and the content of your messages exclusively to process your request. Please do not send us any confidential or particularly sensitive information via WhatsApp.
10. Customer relationship and performance of assignments
If you become a customer of Butler Office, we process the information required for the quotation, contract, provision of services, invoicing and communication, in particular contact details, details of the assignment, correspondence, and invoicing and payment details. The basis is the initiation and performance of the contract. Contracts are governed by our GTC.
11. Processing on behalf of our customers
For certain services, such as the operation of websites and systems or administrative work, we process personal data on behalf of our customers. The respective customer remains the controller of these data; we process them only in accordance with the customer’s instructions. The basis is our data processing agreement. Data subjects are asked to address their requests to the respective customer.
12. Cookies and similar technologies
This website only uses storage that is required for its operation. Details can be found in the cookie policy.
13. Embedded services and external links
Apart from hCaptcha on the contact page, no third-party services are embedded when our pages are accessed. Links to third-party websites and services (for example references or WhatsApp, see clause 9) are ordinary links; you only leave our website when you click on them, and the terms of the respective provider then apply.
On the home page and the “About” page you can, if you wish, load a live preview of the respective website for individual references. A connection to the external website is only established after this deliberate activation; before that, no content is loaded from there. In the process, technical data, in particular your IP address and browser and device information, may be transmitted to its operator and, where applicable, to third-party services used by that operator; the privacy terms of the respective website apply. Our page does not transmit a referring address (referrer) in the process. Alternatively, you can open the website directly via the external link.

For individual assignments we may engage IT specialists who work on our behalf and in accordance with our instructions; they are given access to personal data only if and only to the extent that the respective assignment requires it. Personal data are not sold.
16. Retention and erasure
We retain personal data only for as long as is required for the respective purpose of processing or for as long as statutory, contractual or legitimate evidentiary reasons require further retention. Personal data that are no longer needed are erased or anonymised. Enquiries that have been concluded and have not led to an assignment are erased or anonymised as soon as no communication is pending any longer and no such reason exists. If an assignment or contract arises, we keep the information required for it in the customer file. Documents that are subject to a statutory retention obligation, in particular business ledgers and accounting vouchers, are retained for the statutory period of ten years (Art. 958f CO).
17. Data security
We take appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access. The website is transmitted exclusively in encrypted form (TLS).
18. Your rights
Within the framework of the FADP, you have in particular the right to information about the data processed concerning you, to rectification of inaccurate data, to erasure, to object to processing, and to the delivery or transfer of your data. Please address your request to the address stated in clause 2. You may also contact the Federal Data Protection and Information Commissioner (FDPIC).
